Notifications about new documents
After a document is published by the administrator, a notification will be sent to the user’s email address. Depending on the configuration, the content of the notification may vary. It may include (or not) information about which organizational units, positions, or locations the attachment requires confirmation or reviewing from.
Notifications about documents pending confirmation
This type of notification is sent according to the configured settings. It informs which documents are awaiting approval and by which users. Notifications can be sent before the deadline or after it has passed, and they may refer to the following dates:
-the start date of the document’s validity
-document withdrawal date
-publication date
-deadline for confirmation or reviewing of the attachment
It is possible to configure notifications to be sent on a recurring basis — for example, once a week — until the conditions are met (e.g., all employees concerned have approved the attachments).
Notifications are divided into:
Individual notifications – sent to an employee with a summary of documents that are pending their reviewing or confirmation.
Summary notifications – can be sent to: the document type administrator, the supervisor, the person who issued the document, a person assigned with a permission scheme, or other additionally authorized individuals.
Notification of document confirmation
This type of notification confirms that an employee has reviewed or confirmed a document. Just like the notification about pending documents, it can be sent in both individual and summary form.
