To change the data in the employment document, open the document in edit mode and make changes to the various fields on the form.
If you make changes to the following fields:
-Position
-Department
-Direct Supervisor
-Employment start & end
-Working hours
On the form you will see a section called EFFECTIVE DATE OF CHANGE, where you should indicate from when the changes made are to be effective.
All changes made will be saved in the EMPLOYMENT DATA HISTORY section and processed by the system accordingly.
In the field EFFECTIVE DATE OF CHANGE you should set the date from which the introduced changes are effective. The effective date is the main determinant, for example, for the working time, according to which the vacation limit and the working time norm in the employee’s schedules are calculated.
The system verifies that the date indicated is within the period of employment, if the date is set in the past it cannot be earlier than the beginning of employment and date into the future, the maximum range to the end of next month (from today’s date)which cannot be set later than the end of employment.
If the effective date entered will conflict with the effective dates in the “Historical employment data” section,a corresponding question will be displayed, asking you to confirm the validity of the data for the selected date, and information about the removal of conflicting entries.
The system forces the completion of the date field, the absence of a value will block the saving of the employment document.
Effective date in the future
When entering the effective date in the future in the section, an additional checkbox type field Immediate conversion of employment changes entered in related documents (vacation limit, work schedules, etc.) will be displayed.
Checking this checkbox will immediately (after saving the employment document) update the related documents in relation to the changes made in the employment document. This will recalculate, among other things, the accrued vacation limit or the working time norm in the work schedule. After the update, the “Processing date” column in the “Historical employment data” section will show the current date, regardless of the actual effective date.
Leaving the checkbox unchecked will mark the changes made as PENDING for the related documents to be updated.
The pending update data will be recalculated according to the specified effective date. An automatic mechanism, the so-called “agent”, is responsible for recalculating the pending data on the appropriate date. After the update is performed, the PENDING value in the PROCESSED ON column will change to the current date.
Modification of the current effective date
In the EMPLOYMENT DATA HISTORY section, the first row in the table (green color) is the current data from the employment document also covered by the effective date.
The effective date of the current data has been left editable, for the need if the recently entered employment data substitutions would be effective from a different date than the one already entered. The scope of the possibility to change the date and the verification process is the same as for the effective date in the “Effective date of the entered change” section. After changing the effective date and saving the employment document, the process of updating related documents is also triggered.
